Requirements

What matters in customer contact.

The requests, rules and peaks that shape this industry – and how Univerx answers them.

  • Appointments without a phone queue

Booking, cancelling and rescheduling arrive in waves. Online booking, callbacks and reminders take the load off practices, hospitals and care services.

  • Video consultation

Patients join by link in the browser, with no download. The appointment, the documents and the conversation belong to the same case.

  • Pre-sorting requests

Prescription, results, appointment or question: voice dialogue and chat classify the request and route it to the right place. No medical triage.

  • Patient service on every channel

Phone, web messaging, secure messaging, email and SMS run into one queue. The team sees the history, not five inboxes.

  • Health data

Special categories of data call for tight role rights and recording only with consent. Documents for your DPIA on request.

  • Accessible to everyone

Older patients, people with disabilities, other languages: accessible customer interfaces to WCAG 2.1 AA and translation in the conversation.

#Many organisations, one standard

Hospitals, practices, care services and pharmacies talk to patients and relatives every day: about appointments, results, prescriptions, visits and questions. The requests are similar, the teams small and the phone is often the bottleneck.

Univerx brings phone, web messaging, secure messaging, email and SMS into one queue. The case stays the same, whether the request starts on the phone or a result follows by message.

The desktop in patient service: request, appointment, documents and the next step in one place.

#Appointments: proactive, not reactive

A large share of calls to practices and hospitals is about appointments. With appointment booking, patients book, move and cancel online, for a visit in person, by phone or by video.

Notifications send reminders by SMS or message and offer to cancel or reschedule, with consent. That answers questions before they are asked and passes freed slots on sooner.

#Video consultation in the browser

For follow-up talks, discussing results or advice at the pharmacy, a screen is often enough. Video advice opens by link in the browser, with no download and no account.

The team exchanges documents in the same conversation. Recording happens only with consent. Video consultations under German statutory care have their own requirements; we discuss the status openly in the demo.

#Pre-sort requests, do not diagnose

Callers reach a voicebot or the voice dialogue. It classifies: appointment, prescription, results, care visit, callback. It handles simple requests itself and passes everything else to the team with the context.

Pre-sorting is organisational, not medical triage. The voicebot is disclosed as AI, points to the emergency number at once if there are signs of an emergency and hands over to people at any time.

#Care services and pharmacies

Care services coordinate visits with relatives and inform them of changes. Pharmacies announce that an order is ready for collection and answer questions in chat. Real-time translation helps when patient and team share no language.

#Data that needs special protection

Health data belongs to the special categories of personal data under Art. 9 GDPR. In the United States, health data has its own rules; the entry on US rules describes what Univerx is designed for there.

#A typical start

  1. Workshop: define requests, channels, data categories and roles.
  2. Pilot: appointment service or video consultation with one team.
  3. Rollout: pre-sorting by voicebot, further channels and sites.

Univerx states no savings and no case numbers; a pilot shows what works in your organisation. The post Appointments and reminders in healthcare shows how proactive notices can ease the pressure on the phone lines.

Frequently asked questions

May Univerx process health data?

Univerx processes data on your behalf, under a contract according to Art. 28 GDPR, with data residency in the EU and role rights. You decide whether and how health data appears in a case. Documents for your DPIA are available on request.

Are conversations with patients recorded?

Only if you provide for it and consent has been given. Recording, transcription and analytics can each be configured separately.

Is the video service suitable for statutory video consultations in Germany?

Video consultations by statutory-care doctors in Germany come with their own requirements for the video service. Univerx names no certification that does not exist; we discuss the status for your use in the demo.

Does the voicebot make medical decisions?

No. It classifies requests organisationally, for example appointment, prescription or results, and is disclosed as AI. If there are signs of an emergency, it points to the emergency number at once and hands over to the team.

Does Univerx replace the practice or hospital system?

No. Practice, hospital and pharmacy systems stay in the lead. Univerx connects them through interfaces and writes results back.

Appointments and reminders in healthcare: proactive instead of reactive

Someone reminded of an appointment does not need to call to confirm it. Someone who can move it with a reply does not need to call either. Proactive service starts with that simple logic.
