Univerx Workforce
Scheduling
Scheduling turns forecast demand into shift plans that meet service levels and respect the rules. With a swap board, preferred shifts, exceptions and real-time adherence.

Building blocks
Scheduling in detail.
The building blocks at a glance – all in the same workspace and under the same administration.
Plans from demand
Shifts come from the forecast, skills and rules, not from last week’s plan.
Rules that apply
Working hours, breaks, rest periods and agreements are stored and checked in every plan.
Swap board
Employees offer and swap shifts themselves; the rules check every swap automatically.
Exceptions
Training, sickness, team meetings: absences are entered and the plan shows the gap at once.
Real-time adherence
Plan and actual status side by side, so deviations show up early.
#From demand to plan
Forecasting says how many people each interval needs. Scheduling answers who they are. It assigns shifts by skill, contract and availability so that demand is met as closely as possible.
The result is a plan that shows two things: coverage per interval and each person’s shift. Over- and under-coverage are highlighted before the plan is published.

#Rules instead of manual exceptions
What every plan checks
Because the rules are stored, planners do not have to keep them in their heads. A swap on the swap board is checked against the same rules and can be approved without a query if everything fits.
#The plan in employees’ hands
A published plan appears straight away in self-service, on the desktop and on mobile. Employees see their shifts, enter preferences and offer shifts for swapping. Team leads no longer coordinate every change by email.
Short-notice changes reach the people affected as a notification. Anyone willing to take on extra hours responds to an offer instead of being phoned. More under Employee experience.
#Real time: seeing whether the plan works
On the day itself, plan and reality sit side by side. Adherence shows whether the planned staffing is actually there. If volume rises unexpectedly, the gap becomes visible while there is still time to react.
For peak days, see the use case Peak load & crisis communication. It shows how short-notice plan changes, callback offers and proactive notices work together when everyone suddenly calls at once.

Frequently asked questions
Are working-time rules checked automatically?
Yes, the rules you store: maximum hours, breaks, rest periods, part-time models. A plan that breaks a rule is flagged and never published silently.
Is real-time adherence a performance check?
It shows whether the plan works. How detailed it is and who sees it is set by roles and your works agreement; per-person views can be switched off.
Can employees bring in their preferences?
Yes, through preferred shifts and availability in self-service. The plan takes them into account as far as demand and rules allow.
